4 Event registration, Online payment terms and conditions
4.1 The completion of the registration and event application form does not mean that you are either accepted on the event applied for nor that you will receive financial assistance (where applicable). Formal acceptance of your application will be given to you by the Event Organiser following confirmation of your eligibility and suitability by UKTI and subject to availability and application prioritisation processes which are conducted at the sole discretion of UKTI.
4.2 Innovision Events Limited (registered number 3456454, with registered address The Studio, Inner Circle, The Regents Park, London, NW1 4PA) processes payments for event bookings on behalf of UKTI. As such all payments and refunds for events will be undertaken by innovision.
4.3 Payment for event bookings (where relevant) will only be taken once your eligibility and place to attend the event has been confirmed. Attendance at the event will only be confirmed once payment has been received in full. Use of the UKTI online payments facility on this Website indicates your acceptance of the payment terms set out in this clause 4. If you do not accept these terms please do not use the online payments facility.
4.4 Confirmation of Payment
4.4.a Your attendance to an event will not be confirmed until payment has been received in full.
4.4.b Once your payment has been authorised, the Website will display a confirmation screen showing the payment details and a UNIQUE transaction reference number will be emailed to you.
4.4.c An invoice receipt and booking confirmation will be sent to your registered email account.
4.4.d Please keep a note of the transaction receipt number, as you will need to quote this if you have any queries with your payment.
4.4.e Your receipt will not show your debit / credit card details, so if your receipt is lost or stolen, your card details will remain confidential.
4.5 Refused Payments
4.5.a If your payment is refused, the payments system will display a screen informing you of this situation. Remember – it is not UKTI that is refusing your card payment – it is the card issuing bank that is refusing to authorise the payment.
4.5.b If this occurs you will need to contact your card company to discuss the reasons for the refusal.
4.5.c UKTI accepts no liability for a payment not reaching the intended account due to the customer quoting incorrect account information during the booking process.
4.5.d UKTI accepts no liability if payment is refused, or declined, by the debit / credit card supplier. UKTI has no control over acceptance of card payments and any refusal of payment should be taken up with your card supplier.
4.5.e On failure of payment for any reason, your registration for an event is not considered complete and your place is not held. Your partial application will be held in your ‘My Events’ area on the Website under partial bookings. This information will appear for 72 hours, during which time you may attempt to complete the payment, before your partial application is deleted from the Website. UKTI accepts no liability if, when you attempt to make a payment, spaces to attend the event are no longer available.
4.6 Cancellations and Refunds
4.6.a If you book an event and subsequently cancel, the following charges will apply:
(1) 11-20 days before the event (excluding the day of the event) 50% of the event cost;
(2) 0-10 days before the event (excluding the day of the event) 100% of the event cost.
4.6.b If you book an event using a discount code and you cancel you may still be charged the full cost regardless of any discount you may have been offered.
4.6.c Where payment was initially made by debit / credit card, refunds shall normally be applied back to the same card account.
4.6.d Where Internet payments require an authorised refund to be applied to the transaction, the payment will only be refunded to the card making the initial payment.
4.6.e UKTI reserves the right to change or alter the programme of activities at any event.
4.6.f If you book non-refundable flight and travel arrangements this is at your own risk and UKTI will not bear the cost of any cancellation or rescheduling.
4.7.a UKTI (through innovision) provides a secure online payment facility through Sagepay Pay. Once you click on the link to make a payment you will be re-directed to a fully hosted secure managed environment. All information that you send will be bit encrypted.
4.7.b The online service is fully managed externally and UKTI does not hold any card details on any of its servers or within its infrastructure. Neither UKTI, nor any of its staff, has any access to your card details.
4.7.c The Horizon system is fully PCI DSS Compliant for the processing of card payments.

4.9.c UKTI reserves the right to withhold any or all of the grant or require part or full repayment of any grant already paid if any participant that has received a grant fails to comply with any conditions of the grant or causes embarrassment to HM Government, the host country (if applicable) or other participants of the group.
5 Public Funds and Benefits Analysis
5.1 Please note that under the HM Government initiative to improve the transparency of how public funds are used, information may be published regarding any payments made to you, for example through the Market Access Programme (MAP) or equivalent; and any benefit estimated as having been accrued to you through attendance at events such as a pro rata share of event costs (details of payments over £500 have been published since April 2010). Information published may include the identity of the recipient and the amount received. By making an application to register for an event or to apply to participate in the Markets Access Programme you agree that details of any payments made to your company can be published, and your attendance at an event may be published.
5.2 UKTI are required to measure the benefits to your business arising from your attendance at any event for which you register on this Website. By applying to attend an event through this Website you consent to UKTI contacting you and/or your organisation within 12 months after the relevant event to measure the Gross Value Added (“GVA”) before and after event attendance. By applying to attend an event through this Website you further agree to furnish UKTI or its agents with this GVA information about your organisation in relation to any event you attend as a result of using this Website, including such of the following as may be requested depending on the nature of the event: turnover, full time equivalent staff numbers, amortisation and depreciation figures, along with any other necessary financial information, for at least two financial years utilising the best available accounting sources – ideally published, audited accounts but failing that detailed management accounts. All information provided to UKTI will be treated in the strictest confidence and in accordance with the Data Protection Act 1998.
